If you're new to private practice — or switching from another EMR — insurance billing can feel like the most intimidating part of running your own practice. How the claims pipeline works
When TherapyAppointment creates a claim, it automatically scrubs it before submission — checking for common errors that would cause the insurance company to reject it. If something is missing, like a client's address, the system flags it and tells you exactly what needs to be fixed. You can correct the issue right in TherapyAppointment and the fix applies to both the claim and the client's portal record.
Once claims are ready, you'll see a Submit queue showing everything that's cleared the scrub and is ready to go. You can review what's in each claim before it goes out, edit anything that needs adjusting, and submit all ready claims in one batch — or uncheck any you want to hold back.
Tracking pending and aging claims
After submission, TherapyAppointment keeps a running view of all claims sent to insurers that haven't been paid yet. You don't need to monitor this constantly — the system will surface anything that needs your attention. If a claim gets rejected, it comes back into your queue with the rejection reason so you can fix and resubmit. Aging claims, ones where no payment has been recorded after a reasonable window, are flagged separately so you know to follow up.
Automatic ERA posting
This is one of the biggest time-savers in the platform. Rather than manually matching insurance payments to claims, you can set up your insurance companies to send their Explanation of Benefits (EOB) directly to TherapyAppointment. The system reads it and automatically posts the payment, updating your records without any manual entry. For most practitioners, this means the billing screen is clear unless there's something that specifically needs attention.
Client balances, credits, and expiring cards
The billing screen also gives you a quick view of client balances and credits due, and flags any credit cards that are expiring soon. You can send a reminder directly from the platform asking clients to update their card on file through the Client Portal so no separate email required.
Reporting
TherapyAppointment turns your billing activity into a set of practice reports you can use year-round. The income summary report breaks down total income by source for any date range you choose. This makes quarterly reviews and tax prep straightforward. You'll also have access to accounts receivable reports, insurance reimbursement reports, practice summary reports, and audit and feature usage reports.
